At the time of booking, the client must submit a duly signed tour booking form along with required documents such as PAN card and passport copy. To confirm the reservation, an advance payment of 50% of the total tour cost is required, which is non-refundable as it is used to block services such as hotels, flights, and transportation. The final balance payment must be completed 45 days prior to the departure date. Payments can be made via cheque or demand draft in favour of Benchmark Incentive & Leisure Travels Pvt Ltd payable at Bangalore, through NEFT/RTGS bank transfer using the provided bank details, by credit card with an additional 2.5% charge, or in cash. Any delay in payment beyond the specified timeline may result in cancellation of booking.

All tour arrangements including airline tickets, hotel accommodations, and ground transport are pre-blocked in advance, and cancellation charges are applicable as per supplier agreements. If a cancellation is made, written intimation is mandatory. Refunds, if any, will be processed based on applicable cancellation policies and supplier terms. Exceptions may be considered only in cases of serious medical emergencies with valid documentation or unforeseen circumstances such as political instability, government restrictions, or force majeure events. Cancellation charges will be applied based on the number of days prior to departure, where cancellations made 60–46 days prior incur 50% charges and 45–01 days prior incur 100% charges on the tour price (excluding discounts).

Hotel accommodation is subject to availability at the time of booking. In case the mentioned hotel is unavailable, an alternate property in the same category or area will be provided. Standard check-in time is 14:00 hours and check-out time is 11:00 hours. Early check-in or late check-out is strictly subject to availability and may incur additional charges. No early check-in is guaranteed unless specifically mentioned in the itinerary.

All flight bookings are subject to airline rules and availability. Any change or cancellation after ticket issuance will incur applicable penalties as per airline policy. The itinerary may be subject to change due to operational or airline schedule adjustments. Ground transportation will be provided in private air-conditioned vehicles as per the itinerary and not on a disposal basis unless specified. Delays due to traffic, weather, or operational constraints may impact schedules.

Visa issuance is solely at the discretion of the respective embassy or consulate. Benchmark Incentive & Leisure Travels Pvt Ltd will assist in the visa application process, but approval is not guaranteed. Any visa-related charges, documentation costs, or future changes in visa rules will be borne by the client. The client is responsible for providing accurate documents, and delays or rejections due to incomplete or incorrect documentation will not be the company’s responsibility.

The company acts only as an intermediary between clients and service providers such as airlines, hotels, and transport operators. It shall not be liable for any loss, damage, injury, accident, delay, or irregularity caused by circumstances beyond its control, including natural calamities, strikes, or political disturbances. Any additional expenses arising from such situations will be borne by the client. The tour manager reserves the right to modify the itinerary if required due to operational constraints.

All travelers must carry valid travel documents and comply with visa requirements. Any unused services such as meals, sightseeing, or transfers are non-refundable. The itinerary is subject to change based on operational feasibility. Group tours may include shared arrangements, and third-person occupancy may include rollaway beds. The company reserves the right to adjust services without affecting the overall quality of the tour package.
